Privacy Policy

Kollaborate is a one-person web design and AI phone answering business based in Montreal, Quebec, Canada, operated by Joseph Brodt. This policy explains what information we collect, why we collect it, and what we do with it.

Information we collect

We collect information in three ways.

  • When you contact us. If you submit an inquiry form on this site, we collect the details you enter, which may include your name, business name, phone number, email address, and whatever you write in your message.
  • When you call one of our demonstration phone lines. Our demonstration lines are answered by an AI assistant. We collect your phone number as shown by caller ID, a recording and written transcript of the call, and any details you give during the conversation, such as your name or the type of work you do.
  • When you browse this website. We use Vercel Analytics and Vercel Speed Insights to understand which pages are visited and how fast they load. These tools are privacy-focused and do not use cookies to track you across other websites.

How we use your information

We use what we collect to reply to you, to demonstrate our service, to prepare quotes and proposals, to deliver work you have hired us for, and to keep our own records of who we have spoken with. We do not use your information to build advertising profiles, and we do not run behavioural advertising on this website.

Text messages and phone calls

If you call one of our demonstration lines, the AI assistant may ask for your permission to send you a follow up text message containing a short summary of the call and a link to book a conversation. We send that message only if you say yes during the call.

  • We do not share or sell mobile phone numbers, or consent to receive text messages, to any third party or affiliate. Your number is used to reply to you and for nothing else.
  • Message frequency. Message volume is low. In most cases you will receive a single message after your call. We do not run recurring text campaigns, drip sequences, or automated follow up reminders.
  • Costs. Message and data rates may apply, depending on your mobile plan. We do not charge you for messages.
  • Stopping messages. Reply STOP to any message to stop receiving them. Reply HELP for assistance. You can also email joseph@kollaborate.ca and ask us to stop.

Calls to our demonstration lines are answered by an automated assistant and are recorded and transcribed so that we can review how the assistant performed. If you do not want to be recorded, please do not call the demonstration line. Email us instead.

Service providers we use

We are a small business and rely on established providers to run our service. Each of them handles the data described below on our behalf, under their own security and privacy obligations.

  • Vercel hosts this website and provides its analytics.
  • Twilio provides our phone numbers and delivers our calls and text messages.
  • Vapi powers the AI assistant that answers our demonstration lines, including call transcription.
  • Resend delivers email notifications from our forms.
  • GoHighLevel is the customer relationship system where we keep records of the people we have spoken with.

Some of these providers operate servers in the United States, which means your information may be stored or processed outside Canada and may be subject to the laws of that country.

The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.

What we never do

  • We do not sell your personal information.
  • We do not rent or trade your contact details to marketers, data brokers, or affiliates.
  • We do not share your mobile number or your consent to receive texts with anyone.
  • We do not send you marketing texts you did not ask for.

How long we keep it

We keep inquiry and call records for as long as we have an active or prospective working relationship with you, and afterwards only as long as we reasonably need them for our own business records. You can ask us to delete your information at any time and we will do so unless we are legally required to keep it.

Your rights

If you are in Canada, privacy law gives you the right to ask what personal information we hold about you, to ask for a copy of it, to have it corrected if it is wrong, and to withdraw your consent to us using it. If you are in Quebec, you also have the right to ask us to stop sharing it and to have it deleted. To exercise any of these rights, email joseph@kollaborate.ca. We will respond within thirty days.

Security

We keep the number of places your information lives to a minimum, use reputable providers, and protect our accounts with strong authentication. No system is perfectly secure, and we will not pretend otherwise. If a breach ever affects your information, we will tell you.

Children

This is a service sold to businesses. It is not directed at children, and we do not knowingly collect information from anyone under the age of majority.

Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be described here rather than made quietly.
